Finally, Tableau reporting was implemented to provide executive teams with clear insights into profitability and performance trends.

Winter4Kids, a nonprofit organization focused on introducing underserved youth to winter sports. Facing several operational challenges, their growing programs demanded better coordination between coaches, participants, and equipment managers. The organization needed to move away from reliance on manual processes, paper records, and ad-hoc systems to manage student profiles, coaching assignments, and gear tracking. All off-the-shelf solutions were too generic for their needs.

Fullcity developed a custom web-based application using Claris FileMaker, specifically tailored to Winter4Kids’ unique operational model. The application streamlined key workflows such as enrolment, skill-level grouping, progress monitoring, and gear management. The rollout was executed in phases, with frequent client feedback loops used to refine and expand capabilities. The system also empowered partner organizations and schools to pre-load participant data ahead of arrival, streamlining operations on program days.

Over a decade, their business grew significantly, but their core FileMaker application, initially developed by a solo developer, could no longer keep pace with their needs. The system had become challenging to maintain and lacked scalability for their evolving processes.

Fullcity worked closely with Stokes to modernize their existing system through a targeted redesign, focusing on scalability, performance, and usability rather than a full rebuild. As part of the project, Fullcity also partnered with Personal.ai to integrate AI capabilities directly into the FileMaker application, the first integration of its kind. The new system enables researchers to query large volumes of medical data through conversational interfaces, unlocking faster access to key insights.
